Planning a Corporate Event? Here's What you Need to Know

If you want to plan an event that your attendees won’t forget any time soon, then here’s what you need to know. 

 

Know the Purpose of Your Event

 

The first thing you need to do is understand the general purpose of your event. When you decide that hosting an event is what you want to do, you then need to find out what you expect from it. This is the best way for you to identify your target audience, as well as being able to document what goals you’d like to achieve. Rather than thinking of your event as being corporate and nothing more, you need to give some serious thought to the interactive brand experience you are going for. You ideally want it to be meaningful and engaging where possible.

Know your Audience

 

It’s also important to know your audience. Is it for your company’s executives and upper management? Or is it for your community members? Maybe it’s for a combination of the above. Either way, when you can effectively name your audience, you can then figure out a way to reach them. It can be stressful to know how many guests to invite to an event. That being said, it’s far better to invite too many people than not enough. If you are a small business then having endless empty seats and lots of uneaten snacks looks bad. It’s also a huge waste of money. Having too many people will never really spoil your event, but three are some exceptions, for example, if you are hosting a three-course meal.

 

Set a Budget

 

It’s so important to know how much money you have to work with, so you can determine what event you can produce. When you have your number, you then need to add 10% to your budget. Things are forever changing at the end of the day, so you should have a bit of a cushion so you can defend yourself against anything that might pop up. When you have a budget, you can then see how much you are spending on each aspect of your event. If you spend more on decorations than you do a quality tech crew then this might not be the best idea. If you are hosting a big event then you may want to look into tensator barriers as a way to control the crowd.

 

Choose a Theme

 

Another thing you need to do is choose a theme. When you have set your objectives and when you have defined your audience, you then need to take the time to determine a format that is suited to your guests. Coordinating a client event with an industry expert, or even a guest speaker will help you out quite a lot here. A corporate event should be educational and it should also be immersive. If your event does not hit either mark then this will work against you in more ways than one. If you have never hosted an event before, then hiring an event manager could be a good idea.
